How we work
Diagnose, fix, and leave it running
Every process improvement engagement follows the same three steps. We find where the work breaks, we fix it with you, and we hand it off so it keeps working after we leave.
Three steps
Two weeks to see the problem, a few months to fix it
Most organizations know something is broken. Few have the time or the people to find out exactly where, and fewer still have someone free to fix it. That’s the gap we fill.
Diagnose (about two weeks)
We look at how the work actually flows, using your own records, and show where it breaks and what it costs in dollars and hours.
Fix (4 to 12 weeks)
We do the work. We clear the backlog, redesign the process and get it running.
Sustain (optional)
We hand it off cleanly, then stay on as the quality check with a monthly scorecard.
Step 1 · About two weeks
Diagnose: find where it breaks and what it costs
We start with your records, not a survey of opinions. Applications, tickets, invoices, files, schedules: whatever shows how the work really moves. We talk with the people who do it, map each handoff and count where time and money leak out.
What you get:
- A short, plain report your leaders can read in one sitting
- A map of the process as it runs today, with the breakpoints marked
- A baseline: the current numbers we’ll measure the fix against
- A recommended fix, with scope, timeline and what it will take from your side
What we need from you: a sponsor who can make decisions, access to the records that show the work, and a few hours with the people closest to it.
Step 2 · 4 to 12 weeks
Fix: we do the work with your people
This is where most outside help stops and hands you a binder. We don’t. We clear the backlog, redesign the steps, set up the tracking and run the new process alongside your team until it holds.
What you get:
- The redesigned process, working in your daily operation
- Simple procedures written for the people who’ll use them
- The tools and trackers that keep it visible
- A closing readout comparing the baseline to where the numbers landed
What we need from you: a weekly check-in with your sponsor, quick answers when a decision is needed, and the people who do the work available for short sessions.
Step 3 · Optional
Sustain: keep it running without adding staff
When the fix is in place, you choose how it continues. If your team will carry it, they get simple procedures and short training. If you’d rather not staff it, we match you with a vetted specialist from our network to keep it running.
Either way, we stay on as the quality check. Each month you get a scorecard from our Performance and Analytics Office that a board or funder can read in five minutes, so you can see the gains are holding.
What we need from you: one owner on your side and a monthly review on the calendar.
You stay in control
Nothing moves forward until you decide
Each step ends at a gate: a short meeting where we show you what we found or what changed, and you decide what happens next. Proceed, adjust the scope or stop. You never find yourself three months into work you didn’t approve.
After Diagnose
You decide whether to fix, what to fix first, or to take the report and run with it yourself.
During Fix
You approve the new process before it goes live.
Before Sustain
You choose who carries it: your team, a specialist from our network, or no one, if it’s built to run on its own.
Timing
We’re built for moments
Many clients come to us for a moment: a hiring push before the year starts, an audit on the calendar, a grant deadline, a board retreat. The date is fixed, the work isn’t ready, and your people are already full.
We plan backward from your date. Bigger transformation challenges, like a budget that has to shrink, programs that need to merge or growth your operation can’t carry, are taken on as Fix projects with the same gates.
Accountability
One person who answers for the work
You always know who to call. One point of contact leads your engagement from the first conversation to the last scorecard, keeps the plan current and tells you early when something is off track.
Tell us what’s breaking.
In 30 minutes we’ll tell you honestly whether we can help and what a diagnostic would show.
