Operations Office

Get people served faster, with fewer things falling through the cracks

The Amanex Operations Office fixes intake and enrollment, scheduling, service handoffs, and quality and complaints for schools, colleges, nonprofits, care providers and service businesses. We find where the work stalls, fix it, and leave it running.

Sound familiar?

The work keeps bouncing back, and the people you serve wait

New families and clients wait weeks to get started because the paperwork keeps bouncing back. A schedule gets built three times because nobody had the full picture. A case moves from one person to the next and quietly stops moving.

None of this is a failure of effort. Your staff are already at capacity running the work as it is, and the person who’d redesign the process is usually the same person answering the phone. That’s the gap we fill.

What we fix and run

Four places where operations usually break

Intake and enrollment

We map every step from first contact to first day of service, cut the forms and approvals that add time without adding value, and set up a clear way to track every file.

Time to serveIncomplete files

Scheduling

Staff, rooms, routes or appointments, built once from one source of truth and adjusted without starting over.

Time to serveRework

Service handoffs

When work passes between people or departments, we define who owns it, what “complete” means, and how anyone can see where it stands.

Quality and complaints

A simple way to capture complaints, find the cause, and stop the same problem from coming back.

How an engagement runs

Diagnose the flow, fix it, then hand it off

Diagnose (about two weeks). We look at how the work actually flows today, using your own records, and show you where it breaks and what it costs in dollars and hours. You get a short, plain report and a recommended fix.

Fix (4 to 12 weeks). We do the work with your people. We clear the backlog, redesign the process and get it running. You won’t get a binder of recommendations to implement on your own.

Sustain (optional). Your team gets simple procedures and a short training, or we match you with a vetted specialist from our network. We stay on as the quality check with a monthly scorecard so you can see the fix is holding.

The toolkit

Proven methods, chosen to fit the problem

We use the same methods large organizations pay for. Lean Six Sigma, a set of methods for removing waste and errors from a process, is useful when a process has too many steps or too many mistakes. Design thinking helps when the process needs to be rebuilt around the people using it. Business analytics shows where time and money actually go.

We pick the method after we see the problem, never before. Every engagement starts with a baseline and ends with the numbers that moved.

Who we serve

Built for organizations that run on frontline people

The Operations Office works with K-12 schools and districts, colleges and universities, home health and care providers, childcare and early learning centers, nonprofits, and licensed service businesses. If people wait on you to get started, get scheduled or get an answer, this office is for you.

Operations work often connects to other offices. Slow enrollment can be a staffing problem in the People Office, and a backlog of incomplete files can become a finding in the Compliance Office. We’ll tell you where the real problem sits.

Common questions

Questions about the Operations Office

What does the Operations Office actually do?

We fix how work moves through your organization: intake and enrollment, scheduling, handoffs between people and departments, and how you handle quality and complaints. We do the redesign and the cleanup ourselves, alongside your staff, and leave a process your team can run.

How do you figure out where the problem is?

We start with your own records, such as intake logs, schedules, case files and complaint notes, and trace how the work actually flows. That shows where files stall, where work gets redone, and what each delay costs in dollars and hours. You see the evidence before you decide on a fix.

Will this mean cutting staff?

Decisions about positions stay with you. Our goal is leaner without layoffs. When we remove wasted steps, your people get time back for the work only they can do.

How long does it take?

A Diagnose takes about two weeks. A Fix runs 4 to 12 weeks depending on the scope. Many clients come to us ahead of a deadline, like the start of a school year or an enrollment season.

How do you price this work?

Fixed fees, agreed up front. No hourly meters. We work with procurement for public agencies, and many funders will cover our work as capacity building for nonprofits.

What happens after you leave?

Your team gets simple procedures and a short training, or we match you with a vetted specialist from our network. Either way, we can stay on as the quality check with a monthly scorecard.

Tell us where the work is getting stuck.

In 30 minutes we’ll tell you honestly whether we can help, and what a diagnostic would show.
